How to Make Outsourcing Work for You: The Elements of Success

Successful outsourcing of any kind requires careful planning and detailed communication on the part of both companies involved. There are several factors at play in any outsourcing situation that must be considered in order to ensure that the enterprise is a positive experience for all parties affected, from the company utilizing outsourcing in order to trim costs and allow greater ingenuity and creativity to flourish at their home offices, to the most important party of all: The customer. According to a Survey of Current and Potential Outsourcing End-Users from the Outsourcing Institute Membership, here are some key factors that contribute to a successful outsourcing:

Understanding Company Goals and Objectives

This is an essential point: In making sure that you can carefully enumerate and communicate your company’s goals and objectives to another company in an outsourcing situation, you must first make certain that those goals and values have been clearly defined and understood by your home office employees. This allows you to give detailed instructions to the outsourced company, as well as giving you the opportunity to refine your company’s mission statement and articulate your plans, both, long- and short-term.

Creating and Enforcing a Strategic Vision in Your Business Plan

In creating a strategic vision for your company, you address the issue of scope and detail; that is, you narrow your focus from the general issue of your company’s broader goals and objectives, as outlined above, and determine a specific strategy and plan of action to achieve those goals. Again, you must make sure that this plan is clearly understand, both at home and at the company to which you’re outsourcing.

Taking Care to Select the Right Company for Your Outsourcing Needs.

When choosing which company to work with in your outsourcing venture, there are several questions to consider in determining whether a company can provide you and your customers with the high level of service to which you’re committed: Is the company to which you’re planning to outsource dedicated to quality and professionalism? Is their price compatible with your company’s budget? Do they have the resources and experience necessary for the job or jobs at hand? And, perhaps most importantly, what is their reputation in the business community? Do they have positive references from other companies? Not taking the time to research and carefully evaluate each potential outsourcing company may be the number one mistake made by businesses when outsourcing. Don’t let it happen to you!

Investing the Time to Provide Ongoing Management and Guidance

Just because you’ve taken the time to carefully articulate your company’s goals, values and strategies, you should resist the possible temptation to simply sit back and relax! Maintaining a successful outsourcing enterprise is a continual process, not a one-time task. Take the time to provide the outsourced company with the necessary management and guidance, and you can ensure a positive experience over the long run. This is why many companies looking to outsource often send a representative from their home offices abroad to either train or manage their outsourced employees onsite; while this may or may not be necessary for you, it does exemplify the need for hands-on involvement in any outsourcing situation from BPO to call center outsourcing.

Creating a Properly Structured Contract

As with any aspect of a successful business venture, the root of a successful outsourcing is a well-defined and properly structured legal contract. Once you’ve carefully laid out the terms and conditions of the outsourcing and both parties have agreed to comply by them, you’ll feel that much more secure in you decision.

Encouraging an Open Flow of Communication.

Again, open communication is an absolute necessity. How can the company to which you’re outsourcing properly execute the tasks which they’re given to complete without specific and ongoing instructions on the part of your company? Additionally, if any problems arise along the way, addressing them quickly and directly is the most effective way to get things back on track.

Having the Support and Involvement of Senior Executives.

A successful outsourcing requires the involvement and participation of every employee in your home offices, from an intern or entry-level worker right up to the CEO. When everyone is onboard, the enthusiasm and clarity of focus allows a higher level of productivity and encourages the open communication, both at home and abroad, that is so essential to this enterprise.

Paying Attention to Personnel Issues.

Listen to your employees! Some of them may feel initially feel threatened by the idea of outsourcing. Do they feel that their jobs are in jeopardy? Are they concerned that the feeling of camaraderie in the office will decrease? In addressing their worries directly and honestly, and assuring them of their continued value in the company, you can avoid many of the problems that may occur at your home office.

Justifying the Financial Costs of Outsourcing.

While outsourcing may lower your labor and operating costs, your company may or may not see immediate financial returns and instant savings. Remember, however, that the value of offshore outsourcing is more complex than simply saving money on labor; you will also be improving the quality and speed of you service, freeing your home employees for new ventures and more creative enterprises, allowing new perspectives into your business from the global marketplace, and sharing risks. Outsourcing can enrich your company in a number of ways, and while some of those benefits may take a bit of time to manifest themselves, if you stay the course you’ll be pleased with the end results – and your customers will thank you as well.

Working with a company in another nation can be an excellent opportunity to gain new ideas and perspectives and inject fresh ideas into your standard ways of doing business.Not only will you gain a novel outlook from colleagues abroad who may have backgrounds and viewpoints completely different from your own, but you’ll also be in touch with a company that has experience in working with other companies of your ilk.
